Custom AI sales workspace · Case study

It doesn’t look like a CRM. It looks like the inbox your reps already use.

We built Salezilla for a B2B company with 40 salespeople selling into the US. It replaced their CRM, their calling app, a stack of spreadsheets and a handful of one-off AI tools. Reps open it and the next email is already researched and drafted.

Before

Four tools, four tabs, and the follow-up nobody remembered.

Calls to US prospects ran through a separate app. Leads lived in the CRM, targets in spreadsheets, and research in whichever AI tool a rep happened to like.

After

One workspace that does the prep.

Every inquiry, reply and follow-up arrives with research done and a draft ready for review.

  • Mailbox monitored, so replies are read and answered in context
  • Calling built into every lead
  • Pipeline, emails, notes, to-dos and files on one record
  • Revenue target visible on every screen

Design decision

We designed it like Outlook, on purpose.

Salespeople already spend their day in an email client. So instead of dashboards and record pages, Salezilla uses the same three columns they know. There was nothing new to learn.

Left pane · Folders

Work sorted by what needs doing

Meeting briefs, new inquiries, replies, follow-ups, news and strategy changes. Each folder shows how many items are waiting.

7 folders, one target bar

Middle pane · Queue

The next lead, always in view

Open a folder and its leads line up with company, contact and a one-line summary. Reps clear the list the way they clear an inbox.

No searching, no filters to set

Right pane · Next action

The email, already written

Deal value, stage and win probability sit on top. Below them is an AI-drafted email or meeting brief the rep reviews and sends.

Research, emails, notes and files one tab away

Under the draft

12 research agents read every inquiry before a rep does.

When an inquiry lands, specialist agents each investigate one angle. Their findings feed the email draft and stay on the Research tab for the rep to check.

Output

Email composer

Combines the research into a draft the rep can review and send.

The payoff: prospects replied twice as often once emails were written from this research instead of from templates.

Every folder in the sidebar

Each one does work, not just holds it.

New inquiries

Researched by the agents and answered with a ready draft. The rep reviews and clicks send.

Next action: pre-done

Replies

The mailbox is monitored. When a customer writes back, Salezilla reads the thread, answers their questions, handles objections and updates value, qualification and probability.

Objection handling built in

Follow-ups

Low-value leads get followed up automatically. High-value leads get a prepared email for the rep to review, so a whole follow-up list clears fast.

Split: active / inactive

On-the-fly collateral

Marketing couldn't keep up with every industry, so the AI forms a hypothesis, researches for 15-20 minutes and produces an industry report to attach to the email.

Custom report per prospect

News

Tracks news about the stakeholders and companies each rep is chasing, so there's always a timely reason to write.

Per-stakeholder alerts

Change strategy

When something in the email thread suggests the current approach isn't working, the deal is flagged with a recommended new approach.

Why custom

“In a regular CRM, it’s impossible to build something like this. That’s why it helps to have control over the user interface.”

Seby Kallarakkal, Decision Foundry

Click the target bar in the corner of any screen and the full quarter opens: what’s closed, what’s left, and which open deals can close the gap.

Demo data

What teams ask us about it.

Why build a custom sales application instead of configuring a CRM?

A packaged CRM decides what the screen looks like. This team needed reps to open one workspace and find the next email already researched and drafted, plus views like a live revenue-target tracker. Owning the interface made that possible.

What do the research agents do?

For every inbound inquiry, 12 AI research agents analyze the company, the stakeholder, the industry and its challenges, and the stated requirement. They suggest solution guidance, qualifying questions, similar past projects from 1,500+ case studies, and cross-sell opportunities. That research is used to draft the reply.

Does the AI send emails on its own?

Only for low-value follow-ups. For high-value leads, new inquiries and replies, the AI prepares the email and the salesperson reviews it before sending.

What results did the team see?

Response rates from prospects doubled after the team moved to AI-researched emails in Salezilla.
